Event staffing calculator
For 100 guests with standard plated service, plan for 5 floor servers.
Bar, manager, and runners are counted separately.
Starting point, not a venue standard. Peak overlap can break a plan that looks fine on average. Names and hours still have to be assigned.
Floor servers
5
Range 4–5
Article ratio: 1 server per 20–25 guests.
Bar staff: 2.
In addition to floor servers
- Event manager
- Runner
- Clearing support

| Scenario | Guests per floor server | Floor servers for 100 |
|---|---|---|
| 100 plated | 20–25 | 5 (range 4–5) |
| 100 buffet | 30–40 | 3 (range 3–4) |
| 100 premium / gala | 15–20 | 6 (range 5–7) |
| 100 reception | 40–50 | 3 (range 2–3) |
How the number is calculated
Floor servers are guests divided by the article midpoint, rounded up, then kept inside the published range. Bar and support roles are added on top.
Who is not a floor server
- An event manager coordinates the room. They are not a floor server.
- A bartender covers the bar. They are not a floor server.
- A hard layout adds a runner. It does not reduce floor servers.
Frequently asked questions
Are four servers enough for 100 guests?
Four floor servers is 25 guests each, the loose end of standard plated service, and only when bar, manager, and clearing are separate people. This calculator plans 5, because the article midpoint is 22 guests per floor server (range 4–5).
How many servers are needed for a 100-guest wedding?
Standard plated service: plan 5 floor servers (range 4–5). Premium or synchronised service: plan 6 (range 5–7). Add a manager, runner, clearing support, and bartenders on top of that count.
How many bartenders are needed for 100 guests?
Beer and wine at 100 guests: plan 2 bartenders (the rounded range is also 2). A full bar: 2. Bartenders are not floor servers.
Should the event manager be included in the server count?
No. The manager may step onto the floor, but the role is coordination. The floor-server number stays separate.
Does a buffet always require fewer employees?
Fewer floor servers, yes: for 100 guests the plan is 3 (range 3–4). Buffet attendants are extra, so the total crew does not drop by the full gap.
Assign named people to the event schedule
The calculator stops at headcount. A 14-day trial is where those people get names and hours.
